Job description

Job Description

  • Answer with a big SMILE all incoming calls (6 multi divisional lines) and transfer to correct extensions or take a message and leave the message on employee’s desk
  • Keep in/out board up to date so everyone knows who is out of the building
  • HAPPILY greet all customers/couriers as they come into the building and direct them to the correct individuals
  • Call for courier pick up (admin)
  • ACCURATELY process customer and walk up cash invoicing as required
  • Open incoming mail and distribute to correct departments
  • Accurately create bank deposit in excel from incoming cheques
  • MANAGE all office supplies and maintain supply cupboard for the office; with cost SAVINGS in mind
  • Sort bills of lading file (weekly)
  • Manage candy and pop/coffee machine
  • Manage small petty cash
  • Maintain coffee/tea supplies – ensure coffee area is CLEAN and fresh coffee is always READY
  • Call satellite provider with any issues
  • Stock credit apps/fax cover sheets
  • Look after copier service/maintenance/supplies
  • Distribute incoming faxes from copier machine
  • Data enter payroll time cards calculated each day and recorded on excel spreadsheet (hrs worked, vacation time, sick time, stat days, non-paid time)
  • Accurately record bi-weekly payroll hours and create an excel analysis report for payroll cutoff within tight deadlines
  • Open document (WIP) report for all users (bi-weekly)
  • General administration duties as assigned



    Requirements

    You Must ……..

    • Enjoy working with the public, this is a front facing client service role
    • Have a GREAT personality, well groomed, and a proven work ethic (cares about what they do)
    • Have an impeccable attendance record
    • Have 1-2 years of reception experience in an office environment
    • Be a self-starter with minimal supervision
    • Have the ability to maintain the utmost confidentiality
    • Have excellent English communication skills both verbal and written
    • Be detail oriented - you pay attention to the LITTLE things
    • LOVE change and embrace all changes which makes the company better
    • Be, not afraid to SHARE ideas on continuous improvement
    • Have experience with multi-line calls, phones can be busy ringing at the same time.
    • Have intermediate MS office skills (Word/Excel) – must be able to apply formulas and produce charts in excel with ease
    • ERP system experience an asset

     

    Position Details

    Hours 8:00am to 4:30pm Monday to Friday
